The MCI web site will have the current hotel availability status in real time and will accept immediate reservations.

Make hotel reservations early!
MCI has contracted numerous hotels to provide discounted room rates for attendees for the 11th International Geneva/Springfield symposium’s participants. To benefit from these rates, hotel reservations have to be made through MCI Suisse SA.

Please book before 26 January 2010 in order to guarantee your booking. As hotel accommodation is subject to availability, requests received after this date will not be guaranteed.

Reservations are made on a first come, first served basis. In the event of the preferred hotel price category being fully booked, MCI Suisse SA reserves the right to book another available alternative. Availability in each category is limited. Rates are in Swiss Francs (CHF) and are intended per room, per night, service and VAT included.

Reservation and Payments
Accommodation reserved through MCI Suisse SA will be confirmed only if the reservation is guaranteed by credit card or bank transfer (representing one night stay; deposit will be deducted from the final bill when paid by the participant at the hotel). Your credit card will only be debited in case of cancellation, modification or no-show, as per the conditions below. Participants will settle their full bill directly at the hotel.

Special rules and regulations apply for group reservations. All group reservations will be handled by MCI Suisse SA with separate contracts.

Check-in/Check-out Time
Hotel check-in time is 15:00 or later. If you are arriving after 18:00, please notify MCI in advance. Check-out time is 11.am or noon depending on the hotel’s policy.

Payment, Cancellation, Modification and Refund Policy
Important: a guarantee is required for hotel reservation either by credit card or by bank transfer (representing, per room, the cost of the 1st night stay). From 12 January 2010, only guarantee by credit card will be accepted.

ALL enquiries or requests for additional hotel information as well as changes or cancellations to your original reservation must be sent directly to MCI Suisse SA for all; delegates and speakers

Please do not contact the hotel directly.

For cancellations received before 9 February 2010 deposits will be refunded less CHF 100.- for administrative costs. After this date, no refund will be possible. For late cancellations (from 9 February 2010), rooms cancelled, cancelled nights or no-show, first night stay will be retained in case of guarantee by bank transfer, or your credit card will be charged for the first night stay. We reserve the right to charge the full stay if the hotel room cannot be re-sold. A handling fee of CHF 50.- per hotel room will be charged for every hotel modification received after 23 February 2010.

Please indicate the purpose of the payment:
“Springfield 2010” and participant’s name, as well as your invoice or registration number on all payments.

- All costs have to be borne by the ordering customer and “free of charge for the receiver account” for all payments.
- Payment by personal cheques cannot be accepted
- All payments have to be made in Swiss Francs (CHF)

Confirmation
The confirmation will be sent on receipt of hotel guarantee. Only guaranteed reservations (either by credit card or by bank transfer) will be confirmed.

Travel Insurance and liability
A personal travel insurance policy to cover theft, loss and medical problems is highly recommended. The organisers will not be held liable for illness, accidents or thefts suffered by participants or accompanying persons during the meeting or during their stay in Switzerland before and after meeting.
