The Greenphire ClinCard Program is a secure and convenient method for distributing participant payments for research projects and clinical trials.
About ClinCard
Functionality:
- Works like a prepaid debit card for quick and efficient payments.

- A single card can be used across multiple studies and reloaded until expiration.

Eligibility:
- Available to all qualifying SIU School of Medicine research studies requiring participant consent.
- Participants must be 18 years or older to register and receive a ClinCard.
- Minors under 18 can participate only if their parent/legal guardian consents and comes the registered participant.
Tax & Documentation Requirements
- A W9 or W8-BEN from must be obtained before enrollment.
- Participants receiving $600 or more in a calendar year will receive a 1099 form from the Comptroller's Office.
Usage:
- Can be used for purchases anywhere major debit cards are accepted.
- Can be used for ATM cash withdrawals.
- Additional terms and conditions may apply.

Payment & reimbursement
Clincard can provide payments to participants in accordance with the protocol submitted to and approved by the Institutional Review Board (IRB). Participants payments and reimbursements are the amounts loaded onto the cards. They include participation payments and items that are considered reimbursements based on the approved study budget, or with prior approval form the study sponsor, such as mileage and transportation.
The CCR handles the billing of all participant payments. Corresponding payments will be pulled from the study account on a monthly basis.
Study Fees Associated with the ClinCard:
- Card Issuance Fee: A one-time $5.00 fee is charged when a new ClinCard is issued.
- Per-Load Fee: Each time funds are added to the ClinCard, a $5.00 fee is applied.
The CCR handles the billing of administrative expenses and will pull the associated fees from the study account once a month when participant payments for the corresponding month are processed.
Registration
Step 1: All aspects of SIU School of Medicine's ClinCard Program are managed by the CCR. If you're interested in registering a research study into the program, please click the link below and complete the form. A CCR staff member will complete the registration and follow-up with further details.
Step 2: Attend a semi-monthly virtual ClinCard New User Training Session for Study Coordinators:

Step 3: Once the study has been registered, the study coordinator will be issued the appropriate amount of ClinCards for distribution. The physical ClinCards can be picked up in the CCR office located at 201 E. Madison St., Room 230,
Step 4:
Physical Cards: The study coordinator will assign cards to participants via the ClinCard system and maintain an accountability log. At month's end, the CCR Finance Team will report transactions and deduct charges from the designated study account or BP.
Virtual Cards The study coordinator will assign cards through the ClinCard system, and participants will receive a link via email. The CCR Finance Team will process transactions and deduct charges monthly from the designated study account or BP.

If your card is lost or stolen, contact the corresponding study coordinator immediately to report it and request a replacement.
